Membership and Donor Database Manager

Job Description:

The Waseca County Historical Society is looking for a detail-oriented and strategic minded Membership and Donation Database Manager to join our team. This position is perfect for someone who loves history and enjoys creating efficient systems. You will manage our membership and donor databases, ensuring records are accurate and up-to-date. You will also analyze data to help us improve our processes, grow our membership, and engage more effectively with our donors. We need someone with strong analytical skills who can come up with innovative solutions to make our database systems better.

In this role, you will be essential in helping to guide the future growth of our society by using data to support important decisions. You will keep our databases in excellent condition, generate useful reports, and work with the team to develop targeted outreach strategies. Your ability to think critically will help us streamline our operations and achieve our membership and donation goals. Membership and Donor Management Duties:

  • Database Management: Membership Managers maintain an updated membership and donation database to ensure accurate records and streamline communication effort, and know how to pull the appropriate reports to inform decision making for the organization.

  • ·Processing: adding incoming new and renewing memberships and donations, sending our thank you postcards for renewing members, letters for sustainer and lifetime memberships, sending out physical and email reminders to members that need to be renewed twice a month, and annual membership drive.

  • Analysis and Communication: Membership Managers monitor member and donation trends and feedback, utilizing data to inform strategic decisions, and maintain open lines of communication with members.

  • Financial Goals Alignment: Collaborating with the membership base, they work towards achieving the organization's financial objectives, leveraging member support to drive success.

  • Membership Retention: The Membership Manager holds primary responsibility for ensuring the satisfaction and retention of existing members.

  • Membership and Donation Growth Initiatives: They assist in the execution of membership drives, working with the directors and board initiatives, strategizing effective outreach tactics to expand the nonprofit's member base.

  • Campaign Assistance: They assist with various membership and donor campaigns, including on-site sales, direct mail, and media marketing, striving to enhance member involvement and support.

    Additional duties not related directly to membership management on an as needed basis:

  • Light Museum Upkeep – Order supplies for the museum such as air filters, lightbulbs, toiletries, and office supplies. Call or complete maintenance for computers, printers, phones, fire extinguishers, etc., empty dehumidifier daily.

  • Bulk Mailing – organizing bulk mailing (newsletter, annual year end giving, annual membership driver, fundraiser promotions), make sure forms are up to date, dropping off at the post office.

  • Gift Shop – Updating the inventory list when new things are added and tallying the items sold at the end of the year. Changing out gift shop display cases and items as needed.

  • Programming – Set up, take down, direct volunteers, talk to students, teachers, and visitors during presentations. Also, assisting in new program ideas when needed.

  • Newsletter – Occasionally write articles, edit, print, update the website, and mail/email the quarterly newsletter.

  • Fundraising – Help organize, create advertising, set up, collect money and items needed, etc.

  • Customer Service – Greet museum visitors, answer phones, take messages, help visitors with any questions they have.

  • Fair Week – Help get ready for and work during the fair once per year.

  • Calendar – decide on theme and print the yearly calendar.
